This document will help you place and execute the shoot properly.

1. Planning Phase

  • a. Review the event schedules and research the participants and businesses presenting there.
  • b. Understand the photo requirements and the target audience for the photos. Determine the specific shots that are needed for the news article, ads, videos, and article feature images.
  • c. Determine the equipment needed for the event. Ensure that all equipment is in good working condition, and carry spare batteries and memory cards.
  • d. Identify key locations in the event that are good for taking photos and make a plan for how to get to those locations.

2. Capturing Participants:

  • a. Arrive early to the event to capture participants as they arrive.
  • b. Take wide-angle shots of the event location to provide context.
  • c. Look for interesting, candid moments to capture the participants.
  • d. Take shots of people mingling, participating in activities, and interacting with the businesses present.
  • e. Take group shots of participants when possible.
  • f. Capture shots of people’s expressions and emotions, as this adds depth and interest to the photos.

3. Capturing Businesses:

  • a. Meet with the businesses presenting at the event before it starts to understand their branding and messaging.
  • b. Take shots of their signage, products, and booth displays.
  • c. Take photos of their staff interacting with customers, and showcase the product/service being presented.
  • d. Ask for permission to take close-up shots of the product/service if required.
  • e. Take wide shots of the entire booth, capturing the overall atmosphere and experience of the business.

4. Post-Processing Phase:

  • a. Upload the photos to a computer or laptop as soon as possible after the event.
  • b. Choose the best shots and discard any unusable ones.
  • c. Edit the photos to enhance their quality, color balance, and exposure.
  • d. Add captions and keywords to each photo, to make them easy to find and use.
  • e. Organize the photos into folders based on their usages, such as news articles, ads, videos, and article feature images.
  • f. Upload the photos to your preferred stock photography platform or deliver them to the client.
